Project Associate

The MAVEN Project provides access and reduced wait times for needed care in underserved communities through our physician volunteers (both specialists and primary care physicians) who provide clinical consultation, education and mentoring to healthcare organizations in need. The MAVEN Project delivers value by matching its national corps of engaged physician volunteers with organizations serving vulnerable and underserved populations. The MAVEN project makes it easy, fun and meaningful for physicians to volunteer time and expertise.

Position Description:

The MAVEN Project is seeking an eager, ambitious, energetic and detail- oriented Project Associate to join our collaborative, dynamic team based in Watertown, MA. Reporting to the CEO, the Project Associate is responsible for the day-to-day management and activities of the office and organization and is an active member of the operations team, participating and leading initiatives. The Project Associate joins an engaged and committed team dedicated to closing the gaps on access to care for vulnerable populations. 


Day-to-day operations, management and support of the office and organization (60% of role), including:

  • Performing administrative duties for team including managing calendars, planning and scheduling meetings, reserving conference rooms as needed

  • Preparing and editing correspondence, presentations and reports

  • Making travel and event arrangements including fundraising related needs

  • Organizing, managing and maintaining files, databases and records

  • On-boarding new staff members and assisting with human resources

  • Data entry and management of data and systems as needed

  • Managing agenda for All Staff Meeting

  • Taking the lead on finding innovative ways to engage staff across the country

  • Interfacing with and providing support for other staff as needed

  • Other work as deemed necessary by the organization

Project Management (40% of role):

  • Managing the credentialing process for new physician volunteers; this includes ensuring all documentation is up to date and physician volunteers are communicated with in an effective and appreciative manner

  • Participating in social media initiatives for organization

  • Leading other projects as they relate to internal (MAVEN Project) and external (clinic operations), as requested

  • Identifying new opportunities to

    • Design programs to achieve outcome

    • Participate in execution of programs as relevant

  • Identifying opportunities to improve existing system

    • Designing solutions

    • Participate in execution of new systems

  • Assisting with additional special projects as needed including development initiatives and national conference preparations

  •  Other work as deemed necessary by the organization


  • B.A./B.S. required

  • Strong written and verbal communication skills

  • Strong organizational skills and attention to detail

  • Strong computer skills

  • Sensitivity to confidential matters

  • Experience in an office environment

  • Interest in health care and closing the gaps to access to care

  • Flexibility to work on various projects and initiatives at once

  • Ability to multi-task and work in a fast-paced and resource-constrained environment

  • Independent and able to work with limited supervision

  • Ability to work well with all levels of management and staff as well as outside parties

  • Creative/Innovative approach to solving problems
